Version 1.0 · 13 October 2026
This Agreement is between BOGS Accounting, of Winnipeg, Manitoba (“BOGS”, “we”, “us”), and the person or organisation that subscribes to BOGS EasyBooks (“you”). It governs your use of EasyBooks. By creating an account, starting a free trial, or paying a subscription fee, you agree to it.
1. What EasyBooks is
EasyBooks is bookkeeping software you operate yourself. You use it to record income and expenses, photograph and store receipts, issue invoices and quotes, track mileage, and produce reports from the figures you have entered.
You do the bookkeeping. EasyBooks is the tool you do it with.
2. Your account
-
You must give accurate registration details and keep your contact email current. Notices under this Agreement are sent to that address.
-
You are responsible for everything done under your account, including by your staff or anyone you give access to.
-
Keep your password to yourself. Tell us promptly if you believe someone else has used your account.
-
One account is for one business. A second business needs its own subscription.
3. What EasyBooks is not
This clause matters more than any other in this Agreement, and we would rather be blunt about it than have you discover it later.
-
Using EasyBooks does not engage BOGS to do your bookkeeping, your tax, or your filings, and does not make you a client of our accounting practice. Our bookkeeping and tax services are a separate arrangement with a separate engagement letter.
-
Nothing in EasyBooks is accounting, tax, legal or financial advice. Figures, categories, reports, estimates, and GST/HST worksheets are produced from what you entered, by software, without anyone reviewing them.
-
Where EasyBooks suggests something — a category read off a photographed receipt, a provincial tax rate, a per-kilometre amount — the suggestion is a starting point for you to check, not a conclusion you can rely on. You remain responsible for the accuracy and completeness of your records and for everything you file.
-
EasyBooks is a software product, not a professional engagement. No professional opinion, review, audit or assurance of any kind is given through it.
-
We do not guarantee that your records, as you keep them, will satisfy the Canada Revenue Agency or any other authority. Whether they do depends on what you enter and on your own circumstances.
4. Free trial
-
A new account gets 14 days of full access. No payment card is required to start.
-
We limit trial accounts to 25 invoices, to prevent the trial being used as a free invoicing service. Paid plans have no such limit.
-
At the end of the trial, access to recording and invoicing stops unless you choose a plan. Nothing you have recorded is deleted at that point.
-
One trial per business. We may decline a repeat trial on an email address that has already had one.
5. Plans, fees and taxes
-
Current plans and prices are shown on the EasyBooks pricing page. Prices are in Canadian dollars.
-
GST/HST is added at the rate for your province and is shown before you pay.
-
Subscriptions renew automatically — monthly or annually, as you chose — until cancelled. You authorise us to charge your payment method on each renewal.
-
Payroll, Bill Pay and other add-ons are priced separately and are not included in a plan fee.
-
We may change prices. We will give you at least 30 days’ notice by email, and the change takes effect at your next renewal. If you do not want to continue at the new price, cancel before that renewal.
6. Payments and billing
Subscription payments are processed by Stripe. We do not see or store your full card number.
If a renewal payment fails, we may retry it and may suspend your account until it succeeds. Your records are not deleted during a suspension.
7. Cancellation and refunds
-
You may cancel at any time. Cancellation takes effect at the end of the period you have already paid for; you keep access until then.
-
We do not refund the unused part of a period, except where the law requires it or where we have clearly got something wrong.
-
If you believe you have been charged in error, tell us within 60 days and we will look into it.
-
Export your data before your access ends. See clause 9.
8. Collecting money from your own customers
If you use EasyBooks to take card payments on your invoices, you connect your own Stripe account. This has consequences worth stating plainly:
-
Your customers’ payments go directly to your Stripe account and settle into your bank. They never pass through a BOGS account, and we take no percentage of what you collect.
-
Stripe’s fees, and Stripe’s own agreement with you, are between you and Stripe.
-
Chargebacks, refunds to your customers, and any negative balance on your Stripe account are yours, not ours. We have no ability to reverse or recover a payment on your behalf.
-
Any dispute between you and one of your customers is between the two of you. BOGS is not a party to it.
9. Your data
It is yours
Everything you enter or upload — your figures, your invoices, your receipt images, your customer details — belongs to you. We claim no ownership of it.
What we do with it
We use it to run the service for you, to keep it working, and to help you when you ask. We do not sell it, and we do not use it for advertising. How we handle personal information is set out in the EasyBooks Privacy Policy, which forms part of this Agreement.
Getting a copy
-
You can export your records as CSV at any time while your subscription is active, including during the month you cancel in.
-
After your subscription ends we keep your data for 90 days so you can reactivate or ask for a copy, and may delete it after that.
-
Receipt images and the records behind them are kept for six years while you are subscribed, which is the period the CRA may ask about.
Keep your own copies
We take backups, but no backup is perfect. Your records are your legal responsibility. Export them periodically and keep a copy somewhere you control.
10. Limitation of liability
Read this clause carefully. It limits what you can recover from us.
-
EasyBooks is provided as it is. We do not promise it will be uninterrupted or error-free, or that it will meet every requirement you have.
-
We are not liable for any loss of profit, loss of business, loss of data, missed deadline, interest, penalty, reassessment, or other indirect or consequential loss, however it arises.
-
Our total liability to you for everything connected with EasyBooks is limited to the subscription fees you actually paid us in the 12 months before the event giving rise to the claim.
-
Nothing in this Agreement limits liability that cannot be limited by law — including for fraud, or for anything that applicable Manitoba or Canadian consumer protection legislation does not permit to be excluded.
11. Acceptable use
You must not use EasyBooks to break the law, to record transactions you know to be false, to store anything you have no right to store, to attempt to reach another subscriber’s data, or to interfere with the service. We may suspend an account we reasonably believe is being used this way.
12. Suspension and termination
-
You may cancel at any time, from your account or by emailing us.
-
We may suspend or close an account for non-payment, or for a breach of clause 11.
-
We may discontinue EasyBooks entirely. If we do, we will give at least 90 days’ notice, refund the unused part of any period you have paid for, and keep the export working throughout that notice.
-
Clauses 3, 9, 10 and 15 survive the end of this Agreement.
13. Availability and changes to the service
We aim to keep EasyBooks available and will give notice of planned maintenance where we can. We do not offer a guaranteed uptime level, and we do not credit fees for downtime.
We improve the product continually. Features may be added, changed or withdrawn. If we withdraw something you rely on, we will tell you before we do.
14. Our rights in the software
The EasyBooks software, its design, and the BOGS name and logo remain ours. Your subscription is permission to use the service, not a transfer of any of it. You must not copy, resell, or attempt to extract the software itself.
15. Confidentiality
We treat what we see of your business as confidential, and will not disclose it except to run the service, with your permission, or where the law requires it. Our staff and contractors are bound to the same.
16. Changes to this Agreement
We may update this Agreement. For a material change we will give at least 30 days’ notice by email and show the new version on the EasyBooks website before it takes effect. Continuing to use EasyBooks after that date means you accept the change. If you do not, cancel before it takes effect.
17. General
-
This Agreement is governed by the laws of Manitoba and the laws of Canada that apply there. The courts of Manitoba have jurisdiction.
-
If any part of this Agreement is held unenforceable, the rest continues to apply.
-
You may not transfer this Agreement to someone else without our written consent. We may transfer it if our business is sold, on notice to you.
-
This Agreement, with the Privacy Policy, is the whole of what is agreed between us about EasyBooks.
